Welcome to iCIMS!

On March 2, Auburn University will launch iCIMS, a cloud‑based hiring platform that will transform how we recruit, connect with, onboard, and grow talent at Auburn. This new system will support all employee types and will create a smoother, more transparent, and more efficient hiring and onboarding experience for applicants and supervisors.

Following the launch of iCIMS, PeopleAdmin will be gradually retired over the coming weeks. Additional information regarding the transition is available below.

General Questions

iCIMS is Auburn’s new applicant tracking system that will replace PeopleAdmin for managing job postings, applicants, and hiring processes. 

The transition to iCIMS will provide improved functionality, a more user-friendly experience, and enhanced reporting capabilities. 

iCIMS will be accessible through AU Access on March 2. 

Please consult with your campus HR representative or division leader to confirm your assigned role.

You will still have view-only access to PeopleAdmin to retrieve documents or reference past information. 

Updated support resources will be available and linked on March 2. 

Current Searches

Feb. 13 was the last day to post in PeopleAdmin. This ensured all postings met the required 10‑day posting period prior to the transition to iCIMS.

All postings in PeopleAdmin will be removed at the end of business on Feb. 27.

Auburn’s new site launches March 2 at jobs.auburn.edu.

All Student and TES searches will need to be newly created in iCIMS.

Supervisor Guidance

Faculty & Non‑Faculty Searches

  • Searches with sufficient candidate pools may be completed in PeopleAdmin.
  • Once a finalist is selected, the finalist will be moved into iCIMS to complete hiring and onboarding.
  • Ongoing searches requiring additional applicants will be reposted in iCIMS
  • Searches with insufficient candidate pools should be failed in PeopleAdmin and reposted in iCIMS.

The department may complete the search in PeopleAdmin. When a finalist in the current candidate pool in PeopleAdmin is selected, that finalist will be transitioned by HR  into iCIMS for hiring and onboarding.

Finalists will be transitioned into iCIMS and the hire will be completed in iCIMS.

Hiring Proposals & Workflow Status

  • Proposals still in Draft status as of Feb. 27 at 4:45 p.m. will need to be processed into iCIMS.
  • Proposals already in an active workflow as of 4:45 p.m. on Feb. 27 will be completed in PeopleAdmin.

Applicant Guidance

  • Auburn’s current career site (auemployment.com) will remain live through March 1.
  • All positions posted in PeopleAdmin will remain visible until the site closes.

Non-Faculty and Faculty Positions  

Hiring managers will decide whether to: 

  • Close posted jobs in old platform and move forward with those candidates, or 
  • Re-post the job in the new platform, where candidate applications will be moved by HR from the old platform.   
  • Close the job in the old platform without filling it, or re-post the job in the new platform to get a new candidate pool. If a position is closed without filling, you will receive an email notification. If your application is transitioned from the old platform to the new platform, you will receive an email notification.  

During the transition, you may temporarily be unable to view some applications. Application statuses will reflect updates as of March 1. Due to the high volume of applicants, we are unable to provide individual status updates.  

Student and TES Positions  

  • All Student and TES positions will close in the current system.  
  • If you applied for a Student or TES job, your application is no longer active effective Feb. 27.   
  • Please visit the new website after March 2 and reapply for any positions of interest.  

If you would like to keep copies of your resume, cover letter, transcripts, or other documents currently stored in the system, please log in and download them before March  2.   

Due to the volume of applicants, we are unable to retrieve documents on your behalf after the transition.  

You will need to create a new user account. The new platform is not connected to www.auemployment.com.   

If you are among the Non-Faculty or Faculty candidates whose applications will be moved from the old system to the new system, an account will exist in the new system, and when you create an account, it will be merged.  

Yes. After creating your new account, you will need to complete your basic profile information. This information will auto-fill for future applications in the new system.  

Please note:  

  • Your previous resumes and documents will not transfer.  
  • You will need to upload documents again when applying.  

  • Some positions may be filled from the current system. 
  • Some may be reposted in the new system.  
  • Some may not be filled at all (you will be notified by email if this occurs).  

If you see a job reposted in the new system that you previously applied for, you will need to submit a new application, unless you receive notification from HR that your application is being transferred.
