IDM Access Request Process

This documentation explains the process of the online Access Request Form. It allows requests to be sent to 4 groups:

  1. Identity Management – Accout requests and deactivations for AU Affiliate Personnel (not paid by Auburn University), sponsored guest accounts, and the Faculty role for GTA's, should be requested using this form. There is no need to fill out this form to get an account for faculty, staff, and students.

  2. Parking Services – Parking hangtag requests and deactivations for AU Affiliate Personnel (not paid by Auburn University), and TES should be requested using this form. There is no need to fill out this form to get parking permits for faculty, staff, and students.
  3. Access Control – All Access Control (key and cardswipe) requests, including faculty staff, students, and affiliates should be submitted through this form.
  4. Library –Library access for AU Affiliate Personnel (not paid by Auburn University), and TES should be requested using this form. There is no need to fill out this form to get library access for faculty, staff, and students.

NOTE: For short term access (a period not to exceed 30 days), to Auburn's wireless network and OIT computing labs only, for vendors and other persons having official business at Auburn University, please use the non-renewable OIT Temporary Account Request Form.

Who has Access?

The new request form may be accessed by Deans, Directors, Department heads*; IDM Affiliate sponsors† and/or their designees.

*Individuals listed on the Deans, Directors, Department Heads (DDDH) Banner Report, approved by the President's Office.

Sponsors of Affiliate groups which are maintained by IDM


The designees will be assigned by a Dean, Director, Department head or IDM Affiliate sponsor as either an Alternate Approver or Form Submitter.
The form will be used to request the above access.

I am a DDDH, IDM Affiliate Sponsor, or Alternate Approver.
How do I create Alternate Approvers and From Submitters?

If you are a Dean, Director, Department head*; IDM Affiliate sponsor†; or an Alternate Approver created by one of the aforementioned groups of individuals, you may create Alternate Approvers or Form Submitters using the process below.

Form Submitter

Form Submitters can fill in the Access Request form on behalf of a DDDH, IDM Affiliate sponsor or Alternate Approver; but their requests have to be approved by the DDDH, IDM Affiliate sponsor or Alternate Approver before it can move forward.

Alternate Approver

Alternate Approvers can fill in the Access Request form on behalf of a DDDH or IDM Affiliate sponsor. Their requests do not have to be approved by the DDDH or IDM Affiliate sponsor before it can move forward.
