An important note about salary alignments

Auburn University is currently in the midst of the budgeting process for the next fiscal year.  Human Resources and the Budget Office have collaborated to ensure that the loading of the new budget will be successful and that no merit increases are mistakenly overwritten. Therefore, no salary alignments will be processed between the following dates:

  • University Staff employees, Sept. 2 until Oct. 14

  • Administrative & Professional employees, Sept. 1 until Nov. 1

Salary alignments that would have normally been processed between these dates can still be submitted, however the effective date(s) must occur on or after Oct. 14 for University Staff employees and on or after Nov. 1 for Administrative & Professional employees.

'One Amazing Thing' book discussions begin Aug. 6

What: Common Book “Lunch and Learn” sessions for Human Resources Liaisons and Staff.  Auburn University has selected “One Amazing Thing” by Chitra Divakaruni as the institution’s 2018-19 Common Book.  Additional information.  

Who can participate? All HR Staff, HR Liaisons, and HR Generalists on campus are invited! 

Where: HRD Training Room (1204), Auburn University Administrative Complex

When: 11:45 a.m. to 12:45 p.m. on the following dates:

  • Aug. 6: chapters 1-2 with some opening discussion on reading in general

  • Aug. 20: chapters 3-4

  • Sept. 5: chapters 5-6

  • Sept. 17: chapters 7-8

  • Oct. 1: chapters 9-10

  • Oct. 15: chapters 11-12

  • Oct. 29: chapters 13-14

  • Nov. 12: chapters 15-16 with a final discussion of the entire book

How do you get a FREE copy of the book? Those wishing to take part in the “Lunch and Learn” program can still obtain a free copy from Human Resources, thanks to a donation from University Outreach.  If you would like to take part in the program and receive a free book, contact Sonya Dixon, Manager, Employee Relations, at or (334) 844-4145.

Updated TES form available, ready for use

Updated TES form available, ready for use

Last month, Abbi Brown, Director, Student and Temporary Employment, shared information about planned changes to the TES request form. The updated form is now available and ready for use.

With the updated form, several items that were previously completed by a TES staff member will now be completed by the individual who is submitting the request. Please discontinue use of the old form and begin using the updated form for all TES requests.  All fields should be completed prior to submission.  

Your assistance will help ensure that the submitted form is as complete and accurate as possible, thus making the request process more efficient.

As a reminder, new checklists are also available to help new TES employees (retirees and non-retirees) with the onboarding process.

Please be aware of some planned changes for Electronic Personnel Action Form (EPAF) descriptions and email notifications concerning EPAFs.  These changes are schedule to occur by the second week of August.

These are the planned changes to EPAF descriptions:

This is an example of an email notification change (change is bolded and italicized)

  • Current Email body: A TERMJA EPAF issued by <person’s name> requires your review and approval.

  • Proposed change: An EPAF for Termination of Employees job assignment was issued by <person’s name> requires your review and approval.

Backs of documents needed 

Equifax has notified us that an upload of the backs of List A documents (or in the case of passports, the final page that contains the barcode) is also required for Form I-9.

Process updates for onboarding new employees

Note: The following message is from Bill Shannon, Director, Human Resource Development: 

We continue to update and improve our processes for onboarding new employees, especially New Employee Orientation. We want to be more efficient and productive. Our colleagues in Records and Employment join HR Development in implementing these changes.  

In anticipation of August’s deluge of New Employee Orientations (8) and beyond, we’d like to update our processes for submitting and completing new hire paperwork to HR Records no later than close of business three days prior to New Employee Orientation.

An example follows:

For regularly scheduled Thursday sessions, all new employee paperwork is due to HR Records by close of business Monday in order to attend Thursday’s session that same week. Any new employee missing required paperwork will be rescheduled to the following week.  We realize there might be a few “last minute” exceptions, but feel strongly this approach will make each employee’s experience the best it can be. It would be helpful if all new hire paperwork (with the exception of the I-9) is submitted prior to that Monday.

We continue to have new employees attend who have not set up their AU Access password and/or completed Duo-Mobile authentication. This typically means they miss receiving information shared in the morning as our team assists them. Please remind supervisors in your areas to ensure this is done.

Thanks for all you do to help make this first impression a good one. As an example, you recently received the schedule of due dates for the special faculty sessions and we will now phase this process into the regular Thursday sessions.

Performance review deadlines next week

Next Friday, July 20, is the deadline to submit the following performance review materials to Human Resources:

  • The paper copy of the Division Performance Ratings Spreadsheet (DPRS);

  • An electronic copy of the DPRS, and,

  • Paper copy Performance Review forms.
