The responsibilities of the volunteer check in crew are:
1. to check in volunteers as they arrive and to be certain that all
positions are assigned/filled
2. to have all volunteers complete and sign a release form
3. to provide each volunteer with a name tag and position title
4. to give each volunteer an official Operation Cat Nap tee shirt
5. to give each volunteer a pair of exam gloves to wear at all times
6. to assign Kennel G transporters, give them instruction sheets and
leather gloves and tell them to return them to the boxes on the
volunteer check in table when transport is complete, before
proceeding to their assigned position station
Check off volunteers on the volunteer sign up list as they check in. If volunteers do not sign up and certain positions are not filled, contact the Supervisor as soon as possible. Be sure to check yourself in.
All volunteers must sign release forms on the day of service even if they have signed a release form previously. You may fill in today's date on the form prior to checking in volunteers. Release forms may be passed down the waiting line on clip boards to be signed, however when you check each volunteer in you must personally be sure that the volunteer understands the release form and has checked the appropriate box regarding rabies vaccination and has signed his/her full name legibly on the release form. PLACE SIGNED RELEASE FORMS FROM THE DAY IN A LARGE WHITE ENEVELOPE FOR SAFE-KEEPING. Label the envelope with the clinic date.
Each volunteer should be given a name tag. The volunteer's first name and volunteer position should be written on the name tag (ex: Charles, Recovery). Name tags may be made prior to the clinic and arranged on the table for pick up as volunteers check in. All volunteers are REQUIRED to wear name tags. Do not forget your own name tag!
Each volunteer should receive a complimentary tee shirt. Ask what size they want. All volunteers should wear their tee shirts while on duty. Restrooms are located all the way in the back of the surgery building for changing.
All volunteers should be given a pair of exam gloves (small, medium, or large). They should be instructed that GLOVES MUST BE WORN AT ALL TIMES WHILE ON DUTY NO MATTER WHAT THEIR POSITION IS!
The first 7 veterinary student volunteers to check in should be assigned to Kennel G transport. These volunteers will transport all of the cats from kennel G to the waiting room prior to the start of the clinic. Pre vet students should not be assigned to kennel G transport due to the risk of rabies exposure. (Pre vet students will only be allowed to handle cats once have been anesthetized.) The veterinary students assigned to Kennel G transport should be given an instruction sheet and leather gloves. They should also be given their regular clinic position assignment, sign a release form, receive a name tag and tee shirt just like all other volunteers at check in. After completing Kennel G transport duty, they should proceed to their assigned clinic position station.
PLEASE CLEAN UP THE CHECK IN STATION AFTER YOU HAVE FINISHED. NEATLY REPACK ALL THE SUPPLIES IN THE CHECK IN STATION BOX. PUT THE BROWN ENVELOPE WITH THE SIGNED RELEASE FORMS AND THE VOLUNTEER SIGN UP SHEET IN THE TOP OF THE BOX. PUT ON GLOVES AND PROCEED TO YOUR CLINIC POSITION STATION. THANK YOU!
