CallPilot
General Information
CallPilot, a product of Nortel Networks, is the voice mail solution for Auburn University employees. While voice mailbox access is available via the telephone, employees can also access and manage their voice messages in Outlook with the CallPilot Desktop Messaging client at AU Install.
NOTE: After 6 months, unread messages are deleted from the system. Also, the CallPilot Desktop Messaging client is not currently available for Macintosh machines.
Common Topics
Via telephone access:
- Dial the CallPilot Multimedia Messaging access number, or press the message key. (844-1000)
- Enter your mailbox number, (4-xxxx) then press #.
- Enter your password, (xxxx) then press #.
Note: YOU WILL HAVE TO CHANGE YOUR PASSWORD WHEN YOU LOG INTO YOUR MAILBOX THE FIRST TIME
Via GroupWise access:
- Upon entering GroupWise you are prompted for your mailbox number and password.
- Enter your mailbox number and password.
- If you check Remember Password, then CallPilot will automatically login the next time you enter GroupWise.
Note: Multi-user machines should NOT be setup for auto login
- While logged in your mailbox, press 8 4.
- Enter your current password, then press #.
- Enter your new password, then press #.
- Enter your new password again, then press #.
When you log in your mailbox, you are at your first new message. Messages can be voice, fax or voice and fax.
Via telephone access:
- Login to your Voice Mail.
- Press 2 to play the current message.
- Press 6 to go to the next message; or press 4 to go to the previous message.
- To disconnect, press 8 3, or hang up.
- While playing a message:
- To skip back five seconds, press 1; to skip forward five seconds, press 3.
- To play the message slower, press 2 1; to play the message faster, press 2 3.
- To play the message softer, press 2 4; to play the message louder, press 2 6.
- To pause, press #; to continue, press 2.
Via GroupWise access:
- Click on folder CallPilot Desktop Messaging.
- Double click the message you wish to hear. The CallPilot Player window will appear and your message will automatically begin playing over the speakers of your desktop computer.
- Using the buttons on the CallPilot Player, you can pause, skip back or forward, and make the message play slower or faster.
Via telephone access:
Delete: Before, during, or after playing a message, press 7 6.
Restore: To restore a deleted message, including a message that has been auto-deleted by the system, return to the message and press 7 6.
Via GroupWise access:
Permanently Delete: You may delete voice mail messages in the same way that you delete email messages by clicking on the trashcan button while in the CallPilot Player or in GroupWise. However, this action permanently deletes your voice mail message. It does not go into the GroupWise Trash folder.Via telephone access:
Before, during, or after playing a message:
Contact Sender
- To contact the sender, press 9. Speak to the person or leave a message, then hang up.
Reply
- To reply to a message, press 7 1, record a reply, then press 7 9 to send it.
Reply All
- To reply to the sender and all recipients of a message, press 7 4, record a reply, then press 7 9 to send it.
Forward
- To forward a message, press 7 3. Address the message, then press 7 9 to send it. You can record an introduction before sending the message.
- To play the message envelope, press 7 2.
Via GroupWise access:
Reply
- Do Not Reply to a message using the Reply capability in GroupWise.
- To reply to a message using a voice reply, please follow the instructions above for replying via telephone access.
Forward
- To forward a message using a text (email) reply, click on the Forward button on the CallPilot Player tool bar.
- A new window will open.
- Enter an email address in the To field or click on the To button to search for email addresses using the Groupwise Address book.
- Click OK.
- Repeat the above procedure for entering email addresses in the CC or BCC fields.
- Click on the Text Message button or icon in the CallPilot Player and enter your text reply message in the Text box below.
- Click the Send button on the tool bar.
To compose a message, you address it, record a message, then send it.
- While logged in to your mailbox, press 7 5.
- Enter the first address, then press #. You can enter more addresses followed by #. (To cancel an address, press 0 #.)
- When you have finished, press # again.
- Press 5. At the tone, record your message, then press #.
- To play the message, press 2.
- To add options and attachments, press 7 0, then Urgent 1, Private 4,
Acknowledge 5, Timed Delivery 6, and
Add Attachment 7.
- Press 7 9 to send the message.
How-To
Via telephone access:
- While logged in to your mailbox, press 8 4.
- Enter your current password, then press #.
- Enter your new password, then press #.
- Enter your new password again, then press #.
Via GroupWise access:
- Click on Tools > CallPilot Desktop Messaging > CallPilot Desktop Messaging Options.
- Choose the General tab and click on Change password…
- Enter your Old password (current password).
- Enter your New password.
- Retype your new password again and click OK.
Note: CallPilot* prevents you from using some passwords if they are too short or too simple, or if you have used the same one recently. Keep your mailbox secure by choosing passwords that are not easily discovered. Decide on a system for choosing passwords that is easy for you to remember but hard for anyone else to guess. For example, you can create a unique and easy-to-remember password by combining letters and numbers on your telephone keypad.
CallPilot can notify you of new messages at a remote telephone or pager.
To turn Remote Notification on and off:
Via telephone access:
- While logged in to your mailbox, press 8 5 for CallPilot Tools, then 2 for Remote Notification.
- Press 1 to turn it on; press 2 to turn it off.
- Press 4 to return to your messages.
To change your telephone or pager number, message notification type, notification days,
and notification times:
Via telephone access:
- In Remote Notification, press 5 to review your settings.
- Press 5 again to change the first setting.
- At each setting, change it if required, or press # to leave the setting without change. Press 3 to go to the next setting, or press 1 to go to the previous setting.
- Press 6 to exit setup change.
- Press 4 to return to your messages.
Express Messaging allows users to directly place a message in another user's mailbox without first ringing the destination phone.
- Lift Handset - Enter the Express message number 4-1205
- Enter the 4-mailbox number and the # key
- Leave your message after the Tone
- Press # to stop Recording, 2 to play it, 76 to delete it then 5 to record. Then press 83 and hang up)
- While logged in to your mailbox, press 8 2.
- Press 1 for External Greeting, 2 for Internal Greeting, 3 for Temporary Greeting, or 9 for Personal Verification.
- Press 5 to record. Wait for the tone, then record your greeting or name.
- Press # to end your recording.
* To review your recording, press 2
* To delete a greeting, press 7 6
- Press 4 to return to your messages.
When you record a temporary greeting, tell your callers the times, dates of your absence, and when you will retrieve your message. You can set the month, day, and time for the greeting to expire. If you don't set an expiry date, the temporary greeting will stay in effect until you delete it.
Attention: You must be a CallPilot Voice Mail subscriber to use the Desktop Messaging application.
- Use the Windows Control Panel to uninstall any older version of CallPilot you may have installed.
- If you are using CallPilot with Outlook, it is suggested you also uninstall GroupWise and reboot.
- Download the latest version of CallPilot from AU Install - http://www.auburn.edu/download.
- Double-click the downloaded file to begin installation.
- Click through the installation choosing the default settings. You will be asked to provide the following:
- TCP/IP address: callpilot.auburn.edu
- VPOIM network prefix: 33484 - Once CallPilot has completed installation, you will need to restart your email client.
Note: When start your email client you will need to provide your five-digit mailbox number and voice mail password just as if you were checking your voice mail with your phone. By checking the "remember password box", CallPilot logon will be automatic with future logons. Multi-user machines should NOT be setup for auto logon.
Troubleshooting
Contact the OIT help desk at 844-4944 to have your mailbox password reset.
Go to AU Install and reinstall the software. This should add the folders and any rules that may be missing.
Check your rules for handling messages. Go to Tools>Rules. There should be three CallPilot rules labeled "CALLPILOT_1, CALLPILOT_2 and CALLPILOT_3. All three rules should have a check mark.
If the rules are missing go to AU Install and reinstall the software. This should add the rules and any missing folders that may be missing.
