Office 365 for Employees

Office 365 for Employees includes Microsoft Office, Office Web Apps, and OneDrive for Business (http://www.auburn.edu/onedrive). We offer the equivalent of the email and calendar portion of Office 365 via the Exchange email system.

Microsoft Office for free

Microsoft Office is free for current full-time employees. This can be installed simultaneously on 5 devices and is available for PC, Mac, iOS, Android, and Windows Mobile.

Install Microsoft Office on your personal computer

These installations are not to be installed on a university computer. If you need Microsoft Office installed on a university computer, contact your IT Provider.

If you haven't done so already, start by syncing your "Office 365/OneDrive for Business" account with your Auburn credentials.

  1. Log into MyAccount.
  2. Update your password. If your current password meets the minimum password rules, you may update (resync) with your current password.
  3. Wait 15 minutes to allow your password to sync across systems.
  1. Uninstall Microsoft Office if you currently have it installed.
  2. Sign into Office 365 at http://www.auburn.edu/office365 with your username@auburn.edu and your password.
  3. You should land on the Office page. Select a Language and press the Install button.

    Note: Office installs the 32-bit version on your PC by default, even if your computer is running a 64-bit version of Windows.
  4. After installation, you will be prompted to activate. Choose the second option (log in with your subscription). Enter your username@auburn.edu and click next. Choose the second option, organizational account, then enter your Auburn password. The activation should complete.

    Note: The activation may pop up again, occasionally. Simply login again using this same process.

Install Microsoft Office on your mobile device

If you haven't done so already, start by syncing your "Office 365/OneDrive for Business" account with your Auburn credentials.

  1. Log into MyAccount.
  2. Update your password. If your current password meets the minimum password rules, you may update (resync) with your current password.
  3. Wait 15 minutes to allow your password to sync across systems.

Deactivating an installation

  1. Sign into Office 365 at http://www.auburn.edu/office365 from a desktop.
  2. On the Office page and under the Manage installs section, click Deactivate next to the device you want to deactivate.

Office Web Apps

Use the OneDrive for Business website (http://www.auburn.edu/onedrive) to create or edit Word, Excel, OneNote, or PowerPoint files.

Troubleshooting Microsoft Office installations

The most common problem with installing Microsoft Office is remnant files associated with an older version of Office. Before installing MS Office via Office 365, uninstall all versions of Office currently installed.

If you still receive an error, try using the Fix it tool located at http://support.microsoft.com/kb/2739501.

OneDrive for Business

OneDrive for Business is 1TB of cloud storage intended for storing and organizing your documents. It is easily accessible via the web and mobile clients and can be synced to your PC so you always have easy access to your documents. OneDrive for Business also makes it easy to share and collaborate on documents, both with AU users and non-AU users. Additionally, the Office Web Apps allow you to create and edit Microsoft Office documents from any modern web browser.

Appropriate Use

Auburn University makes the OneDrive for Business service available to faculty and staff as an official means of storing approved classes of information. This service is provided as an extension of University services, and is subject to the policies governing the use of those services.

Auburn University faculty and staff should not use OneDrive for Business or any personal cloud storage service for storing or transferring legally regulated or sensitive information.

You may store work-related documents in OneDrive for Business if they do not belong to the category of legally protected or sensitive information, which includes:

  • Protected Health Information (e.g. medical records) (HIPAA).
  • Education Records/Student Records (FERPA).
  • Alumni and donor records.
  • Personal Information (e.g. Social Security numbers, driver's license numbers, or financial account numbers).
  • Government classified or foreign export restricted data (ITAR).
  • Personally Identifiable Financial Information (Gramm-Leach-Bliley Act).
  • Credit/debit card information (PCI).

Documents that are legally protected or contain sensitive information should be stored on a secure server that is maintained by OIT or a Distributed IT Unit. Contact OIT or your Distributed IT Provider for guidance with your specific situation.

Activate your Account

REMINDER: Your password will need to be updated immediately on all devices (e.g., phones, tablets, laptops). Failure to do so may automatically lock your account. If this occurs, contact the OIT HelpDesk at 334-844-4944.

This resource can be accessed using the following steps:

  1. To begin using OneDrive for Business, you must Sync your password with Office365
    1. Log into MyAccount.
    2. Select "Update Password".
    3. Read and accept the Cloud Storage Agreement.
    4. Update your password. If your current password meets the minimum rules, you may sync with your current password.
    5. Update all mobile devices with your new password. To find a list of mobile devices using your Auburn University password, log into Outlook Web Access (cas.auburn.edu). Under your name, select “Options” and “See All Options”. Select “Phone” from the list under Account. A list of your mobile devices will be displayed. This list may include devices that you no longer use.
  2. Navigate to the Office 365/OneDrive for Business Portal via http://www.auburn.edu/onedrive. Log in with your email address (username@auburn.edu) and your password.

Install OneDrive for Business on your Windows Computer

You can download the OneDrive for Business app for your Windows computer. This will allow you to put files in a folder on your desktop that will be sync’d with your OneDrive for Business in the cloud.

Reminder: It is not recommended to install the desktop application on devices with small hard drives, because the 1 TB of OneDrive for Business storage is larger than the storage available on many hard drives.

  1. Visit https://portal.office.com/OLS/MySoftware.aspx and click "OneDrive" listed under "Software" on the left-hand side of the page. Follow the instructions on the page to install the OneDrive for Business desktop application.
  2. To connect the desktop application to OneDrive for Business, log in to OneDrive for Business and click "sync".

Note: There is a single file size limit of 2GB and a maximum number of files to sync set at 20,000 (anymore files will cause problems).

Install OneDrive for Business on your Mac

Currently, there is not an app for Mac computers.

Install OneDrive for Business on your Android Device

  1. Download the "Microsoft OneDrive" app from Google Play.

  2. Enter your Auburn email address and press "Next."

  3. Sign in with your Auburn credentials.

  4. That's it!

    Items in your OneDrive for Business account will now show up.

Install OneDrive for Business on your iOS Device

  1. Download the "Microsoft OneDrive - Cloud storage for files & photos" app from the iTunes Store

  3. Log in with your Auburn email address (username@auburn.edu) and your password.

  4. That's it!

    Items in your OneDrive for Business account will now show up.


OneDrive limitations

Size limit for syncing files

You can sync files of up to 10 gigabytes (GB).

Character limit for files and folders

These limits apply to files and folders that you add to a synced library folder for uploading to SharePoint.

  • In SharePoint Server 2013, file names can have up to 128 characters.
  • In SharePoint Online, file names can have up to 256 characters.
  • Folder names can have up to 250 characters.
  • Folder name and file name combinations can have up to 250 characters.

Invalid characters

The following characters in file names aren't supported when you sync OneDrive for Business:
\ / : * ? " < > | # %

Additionally, a file name that begins with a tilde isn't supported.

Skype for Business

Skype for Business, formerly known as Lync (and still called Lync in the mobile apps), is a fully Outlook-integrated online meeting and instant messaging tool included in Office 365.

Install Skype for Buisness on your Windows Computer

First make sure Skype for Business isn’t already installed.

  • Go to Start > Microsoft Office 2013 (Windows 7) or Start > Office 365 (Windows 8 and Windows 10), and look for Skype for Business. If Skype for Business is installed, you’re ready to go.

If Skype for Business isn't installed:

  1. Sign in to Office 365 with your Auburn account.

  2. Go to Settings Office 365 setttings button - looks like a gear next to your name > Office 365 Settings.

  3. Choose Software > Skype for Business.

Keep in mind:

  • Skype for Business may already be installed on your computer as part of Office 365.

  • If Skype for Business isn’t listed, contact your workplace technical support to make sure your account includes the Skype for Business Online service.

Install Skype for Buisness on your Mac

If you installed Office for Mac Standard 2011 on or after October 1, 2011, then you already have Lync for Mac 2011. To make sure you have the most current version, see Microsoft Lync for Mac 2011 Update.

Install Skype for Buisness on your mobile device

Go to your app store and search for Skype for Business. For more information, see:

Until Skype for Business is available for your mobile device, you may want to install Lync 2013.

Be sure to sign in with your organization credentials, not your Skype Name or Microsoft account.

Use the search box to find people in your organization or who use Skype.  to keep them handy, right-click them and choose Add to Contacts List.

Double-click someone in the Contacts list and start typing.  Yes, it's really that simple.

Hover over someone in the Contacts list and click the Call button.  (Look for that Call button in other places, too.)

Click the Video button while in an IM or call (or even from the Contacts list).  We'll give you a preview so you know you'll look your best.

Schedule a Skype meeting from your Outlook calendar.

From any conversation, click the Present button to show your desktop or a PowerPoint presentation.

How to use Skype for Business with users outside the university and/or non-SFB users

To use Skype for Business with users outside the university those users must be signed in with a Microsoft account or have their Skype account linked to their Microsoft Account. For instructions on how to link a Skype account to a Microsoft account, visit "How do I link my Skype and Microsoft accounts?"

Note: A Skype account that is not linked to a Microsoft account will not be able to communicate with Skype for Business users.

How to add a Skype contact with Skype for Business

  1. From Skype for Business (Lync), click Add a Contact -> Add a Contact Not in My Organization.
  2. From the list of available contact providers, select Skype.

  3. In the IM Address field, enter the Microsoft account of the Skype user you wish to add.

    Note: Be sure to use their Microsoft account address, not their Skype ID.
    • If their MSA has a domain of: @live.com or @hotmail.com or @outlook.com, enter their MSA as-is.
    • If their MSA is NOT in one of the 3 domains listed above, use format user(domainname.com)@msn.com.
      • For example, if the MSA of your Skype user is janedoe@gmail.com, enter janedoe(gmail.com)@msn.com.
  4. Ask your Skype contact to accept your contact request or to add you to their contact list. Until he or she also adds you as a contact, you will not be able to communicate and their presence will show as Offline.

    Note: At present, Skype for Business users can only connect with Skype for Windows (desktop), Skype modern client (included in Windows 8 / 8.1) and Skype for Mac OS X, but Skype should begin supporting additional platforms soon.
