Billing

Purpose

The purpose of this document is to define billing policies for use of Office of Information Technology computers.

Policy

The Office of Information Technology is funded through the Auburn University main-campus general fund and provides computing services, at no charge, to departments and activities funded by the University's general fund. Such services include computing in ordinary University operations such as administration, instruction, and research not subsidized through a grant or contract. Student access to the SPARCcenter 2000 (Mallard) and academic side of the IBM host is free.

The Office of Information Technology's budget is not intended to provide computing services to those whose work is not covered by the University's general fund. Departments, units, or individuals using IT facilities for any computing activity not funded by the general fund must pay for computing services. Those users include units funded by a grant or contract (federal, state, local, or private), earmarked fees, other state line-item appropriations, gifts, donations and endowments, income from the sale of goods and services, income generated by auxiliary enterprises, indirect cost recoveries, and other external or private funding sources.

An Employee User ID Action Request form must be completed to obtain a user ID. This form requires the department head who signs it to provide an appropriate account number. This account number must be the correct funding source for the computing activity. Compliance with this policy is subject to review by Internal Auditing.

Procedures

• Account Numbers - An account number must be provided with all requests for faculty and staff user IDs. Billing is determined based on the attributes of the account number provided.
• SUN Billing - Access to the Sun is no longer billed.
• CICS Billing - Use of CICS applications such as HRS, SIS and FRS is billed as a total.
• Minimum bills - Accounts with monthly charges totaling less than $10 will not be billed.
