Revision to the Constitution – Discussion and Vote

Drew Burgering explained that the purpose of today’s meeting was to vote on two proposed revisions to the Constitution:

·        Article 4 Section 1F: Absences

·        Article VI: Grievance Policy

Absences

The suggested revision regarding Absences was as follows:

Article 4 Section 1F. ABSENCES –

An Assembly member who misses more than two of the six scheduled meetings per year will be removed from the Assembly and replaced in accordance with Article II Section 3e.

Representatives are encouraged to enlist a substitute to attend any meetings missed in order to provide for continuity of communications.”

An open forum was offered, two minutes per speaker, first on the issue of Absences. There was no discussion. Assembly member Ellen McManus did raise a question regarding who would keep up with these absences, and whether the Assembly member would be notified. Drew explained that the Secretary or a member of the Executive Board would review absences and communicate with the member accordingly.

Ballots were distributed throughout the room by Assembly members and A & P members in attendance. Votes were collected and compiled by this same group. The results were as follows:

            Yes – 36

            No – 6

The Amendment passed. It will be changed and forwarded to President Richardson for final approval.

Grievance Policy

The suggested revision regarding the Grievance Policy was as follows:

Article VI -- Grievance Policy

The Administrative and Professional Grievance Procedures can be found in the Auburn University Personnel Policy and Procedures Manual, Section 8.6, March, 2006, or in such location as deemed appropriate by University Administration. It is understood that Administrative and Professional employees will be afforded the opportunity to review, comment, and endorse proposed changes to the Grievance Policy and Procedures prior to such changes taking effect.

An open forum was offered, two minutes per speaker, next on the issue of the Grievance Policy. There was no discussion.

Ballots were distributed throughout the room by Assembly members and A & P members in attendance. Votes were collected and compiled by this same group. The results were as follows:

            Yes – 43

            No – 1

The Amendment passed. It will be changed and forwarded to President Richardson for final approval.

Additional Information

While votes were being compiled, Drew brought forth two issues of interest for the group.

Presidential Search

Drew mentioned that a letter from Presidential Search Advisory Committee Chairperson, Mr. Charles D. McCrary, and dated January 19, 2007, is now on the Auburn web site. Drew indicated that there is conflicting information floating around. According to

The Birmingham News recently, the Presidential Search committee had narrowed the field of candidates down to six and was ready to narrow the pool even further and bring those candidates to campus. However, the letter from Mr. McCrary (attached) explains that 65 names were recommended by Korn/Ferry International as candidates who appeared to be a good match with the criteria. From that list, Korn/Ferry, after discussion with members of the advisory committee, recommended narrowing the list down to approximately 16.

Mr. McCrary indicated that he believes candidates who are finalists will be invited to campus for interviews before spring break and that the Search Committee will soon thereafter make recommendations to the Board of Trustees. He expects that the new president will be selected by the end of spring semester.

Class and Compensation Study

The new classification and compensation system is expected to be introduced during the first quarter of calendar year 2007. Job family promotions for this year, however, will be based on current policies and procedures and will not be affected by the new system.

Next Assembly Meeting

Drew reminded everyone that the next regular meeting will be held on Tuesday, February 20, when Assembly officer elections will be held.

Adjournment

There being no further business, the meeting was adjourned by the Chair at 3 p.m.

Respectfully submitted,

Julie Nolen, Secretary
