Present: Larry Teeter (Chair), James Goldstein (Chair-Elect), Laura Plexico (Secretary), Xing Ping Hu (Secretary-Elect), Emmett Winn, Patricia Duffy (Immediate-Past Chair), Keven Yost, Sara Wolf, Emily Myers, Robin Jaffe, Constance Relihan.

Absent: Lisa Kensler, Timothy Boosinger

The first item of business was approval of the March 17, 2016 steering minutes.

Sara Wolf discussed the new “fair use” copyright policy. She stated there are a few minor edits to the document. Under the retention of records it is now indicated that records need to be maintained in accordance with University guidelines. The next step will be the development of educational materials on copyright and compliance. This policy makes the burden of proof fall on the user which is consistent with current federal law. The policy will be presented at the April senate meeting.

Robin Jaffe and Constance discussed changes to the calendar to accommodate delaying the last day to drop a class with a ‘W.’ A proposal to delay the drop date was approved by academic standards. After that it went to the calendar committee where there was some conversation about the proposal. It will be brought to the senate from academic standards. Constance reviewed the pros and cons of the policy. While this does pose a change it should be kept in mind that the early alert policy says that grades are to be given 1 week before midterm. Lisa Kensler will be asked to present the policy at the April senate meeting.

Patricia Duffy asked whether the registration time table will be announced earlier or whether there will be a fixed time for registration. Constance said it should be the first Monday in November and the first Monday in April.

Discussed the NTTF proposal to allow lecturers to teach graduate courses or serve on thesis/dissertation committees on an exception basis and the decision to move forward on the NTTF policy. The results of the survey on the policy of NTTF will be presented at the senate meeting. The policy will be presented as a pending action item in the April senate meeting by James Witte.

The agenda items for the April 19 senate meeting were reviewed. There will be two information items on 9 month pay over 12 months and governmental affairs at Auburn University.

Other items brought up include how name changes for different responsibilities for different committees are handled.
