All projects by Facilities Management are first initiated through Program Management, using what we call a Project Initiation Form or PIF. The PIF is a fairly simple form that is intended to provide basic project and contact information needed to enter a project into the Facilities project database. Project Initiation Process
Once a PIF has been submitted by the client and/or received by Facilities Program Management, it will then be entered into the Facilities project database, and assigned a project number for tracking purposes. Confirmation that the PIF was received and the project number assigned to that specific project will be emailed to the contacts listed on the PIF itself. After the project is entered into the Facilities project database, it is typically reviewed on the following Monday (or within a week) through a PIF review group consisting of various individuals from within Facilities Management and Risk Management & Safety. During this PIF review meeting, a project scoper and/or design lead within Facilities Management will be assigned to that specific project, who will then become the primary liaison with the client on that project. In addition, the project scoper or lead as assigned will assist the client with identifying the project requirements, develop a scope of work, develop a preliminary budget for estimating the project costs, and as applicable, help secure all necessary approvals & funding required before the project can move forward into either a more advanced design stage and/or construction phase.
In some cases, where extensive space issues exists, a feasibility study is required, a site is needed, and/or image & character is involved, then a project may need to first go through the Office of Campus Planning & Space Management before it can be designed and/or constructed.
