Constitution of Kadettes

Article I
Name and Affiliations
Section I: The name of this organization is Kadettes.
Section II: The Kadettes are the hostess-support group for the Army ROTC Battalion of Auburn University.
Article II
Purpose
Section I: The purpose of this organization is to support the Army ROTC. In addition, the Kadettes will have the responsibilities of hosting various functions, planning social events, spirit support, fundraising, and philanthropic and community projects.
Article III
Membership
Section I:General Members
Membership is restricted to currently enrolled Auburn University students, faculty, and staff. No university student may be denied membership on the basis of race, sex, religion, national origin, color, age, disability, gender identity or expression, sexual orientation, veteran status.
Section II: Voting Members
To vote in any election held by this organization a member must be on
Current roster and have all dues paid in full.
Article IV
Officers
Section I: The officers shall be President, Vice President, Fundraiser Chairwoman, Treasurer, Secretary, and Philanthropy Chairwoman
Section II: To hold an office in the organization, the member must be in good standing, which entails the member has had been at 2/3s of the current semester’s events and have paid their dues in full.
Section III: Officers are elected in the fall of each year and will hold office from January to the following January 1. A maximum of two terms is the limit which any single person may serve in a position unless approved otherwise by the advisor or the member in that position is running unopposed.
Article V
Advisors
Section I: The Kadette Organization shall have an Auburn University faculty, administrator, or staff member serving as Advisor at all times.
Section II: The Advisor’s role includes but is not limited to all of the things stated in the Provisional Status Information Packet provided by the SGA.
Article VI
Meetings
Section I: Regular meetings will be held every other week. The President alone has the authority to call these meetings. The number required for quorum is fifty percent of active members.
Section II: The President or Vice President is authorized to call special meetings, but must be done with at least 8 hours advance notice by phone or email.
Article VII
Amendments
Section I: This constitution shall be amended by a vote of 2/3 majority of the membership at any regular or special meeting at which a quorum is present. The proposed amendment must be submitted to the President and Advisor 4 days prior to a vote.

Article 1
MEMBERSHIP
Section I: Classification
- Active members shall include anyone selected for membership and who fulfills the qualifications established by the organization.
- A member may be relieved of membership obligations by requesting to be placed on inactive status. Any member requesting inactive status must appear before the executive committee within two weeks of the beginning of a new semester. A 2/3 majority of this committee must vote in favor of the request for it to be granted. Inactive status is granted with the stipulation that the member will pay all dues upon becoming active the following semester, and has cleared all previous fines.
- Financial probation will apply to any Kadette who has neglected to pay his or her dues within two weeks of the first meeting of the semester. This member is not allowed to attend Kadette functions until dues have been paid. If dues are not paid by mid-semester, the member will be expelled from the organization.
Section II: Each member is responsible for attending every regular meeting and actively participating in all events attended by the Kadettes. Any meeting a member cannot attend, a written excuse is required to be turned in to either the President or the Vice President for the minutes. The excuse must be turned in with at least twelve hours advance notice by email. Every active member has a right to vote in any election and attend any event held by the organization.
Section III: Any member who wishes to resign should notify the President or Vice President within the first two weeks of the semester unless otherwise approved.
Section IV: All members are required to join a committee within this organization upon membership. Those committees are Events and Publicity, Fundraising, Philanthropy, Decorations and Themes, and New Member Education. The number of members needed for each committee is dependant upon the number of members for that semester. This section is effective starting Spring of 2010.
Section V: Active members are required to attend 2/3s of the events on the Kadette calendar unless otherwise approved.
Section VI: A member who so chooses to date a Cadet while in Kadettes or are currently dating a Cadet when they apply for membership, do so at their own discretion. However, it should be made clear to all members that the Kadettes do not have the purpose of a dating service, but an appreciaton organization and should be emphasized as such.
Section VII: Dues must be given in the amount of $35 for returning members and $60 for new members at the beginning of each semester. These will be used for the member’s uniform components and any other expenses that are assessed for activities of the organization. The amount is at the discretion of the executive committee and must be approved by 2/3 of the members. These amount for dues is effective starting Fall of 2010.
Article II
OFFICER DUTIES
Section I:President
The President will preside over any meeting called upon by the organization. He or she will be responsible for coordinating all activities and communication with the Advisor and Cadets and the Cadet Advisory Board. They will be responsible for obtaining and keeping all property of Kadettes until needed.
Section II: Vice President
The Vice President shall assume responsibilities if the President is , for any reason, unable to fulfill his or her duties. He or she is also responsible for public relations activities through the Kadettes, as well as being chairman of the Events & Publicity Committee. He or she will need to look for opportunities to promote and publicize Kadettes. He or she will be responsible for recruiting members to their committee and for contacting their respective committee members when needed.
Section III: Fundraising Chairman
The Fundraising Chair is responsible for finding and keeping track of any events that would raise funds for the organization for use in activities. Several events a semester ( minimum 4) must be planned to keep the budget in check with the activities planned. This includes calling businesses and setting up dates for fundraisers, as well as collaborating with the Events & Publicity committee to create posters, flyers or other forms of advertisement for the fundraiser and also informing the Cadets if participation is needed. He or she will also chair the Fundraising committee and will be responsible for communicating with them about events, and also getting their respective committee members to call about possible fundraisers and letting the other members know as well as the respective Auburn University Campus through above mentioned forms of advertisement.
Section IV: Treasurer
The Treasurer shall keep all accounts, deposit the organization’s entire fund and make expenditures. They are responsible for attaining all receipts and history of finances of the organization. Also, they will be responsible for depositing the financial contributions of the Fundraising Committee as well as the financial side of the Decorations & Themes Committee and will co-chair the Philanthropy Committee as to keep track of any monetary contributions Kadettes seeks to donate to that year’s philanthropy. Any member who has this position will need to go to the Army ROTC office and have a copy of their photo ID made for security reasons so as to avoid fraud.
Section V: Secretary
The Secretary will transcribe all the minutes of every meeting and communicate to members about any news or events covered or not covered in meeting. He or she will take attendance at all meetings& events required. She will also Co-Chair the Events & Publicity Committee with the Vice President.
Section VI: New Member Educator
The NME will be responsible for educating all new members of their duties as a Kadette, important background information about Auburn University’s Army ROTC, and any other information that the executive committee deems necessary or appropriate for that semeseter. The NME will hold one or two New Member classes a semester. One class will be for all new members after they have been selected, and then a New Member bonding event that will encourage the Returning members to get to know the New Members.
Section VII: Philanthropy Chairman
The PC will be responsible for finding the current year’s philanthropic focus and for presenting it to the members for a vote and for also creating events to benefit said philanthropy as well as informing the members of such events. The Philanthropy Chair will have their own committee as well, and will be responsible for communicating with all committee members about important info and anything else they deem necessary. (Position established Fall 2010)
Article III
ELECTION OF OFFICERS
Section I: Election of new officers will take place in December of every year.
Section II: Nominations will be taken from the floor at the regular meeting and will be decided upon by a vote of the present members
Section III: Members who are running for office must first accept the nomination. After, they are required to state how long they have been a member of the organization and their qualifications relative to the position desired.
Section IV: Officers must be elected by the majority of the members present. A system of paper ballots will be used to tally votes.
Section V: If an officer decides to step down from an office or is no longer enrolled the President or Vice President must first be notified. Nominations will then be made by current members to fill the position. The executive committee will hold a special meeting to decide from these nominations who will fill the office. If the officer steps down with less than two months until regular elections, the position will be filled by all of the executive committee until regular elections.
Article IV:
ADVISOR
Section I: Major West is the official advisor of the Kadettes, along with Mary Ledford, or whomever is the current professor of Military of Science.
Article V:
FINANCES
Section I: Kadettes is required to have a checking account established for all dues and any other type of income. All checks and withdrawals from the organization’s checking account must be approved by the president and/or treasurer as well as the advisor of the organization.
Section II: Refunds
Kadettes has adopted the policy that if a member purchases items for a non-profit function that member may be reimbursed for that purchase if so desired. However, if a member purchases an item for a Fundraising/Profit-bearing function the member will not be reimbursed. To clarify, an example of a non-profit event would be a member purchasing Gatorades to pass out to Cadets then that member may be reimbursed for that purchase if they have the original receipt to prove that purchase. On the other hand, an example of the profit-bearing function would be considered something such as a “Spaghetti Lunch” in which each member is asked to sign up to bring something to contribute something to the event. In any case such as this, the member will not be reimbursed for his or her expenditures unless otherwise approved by the President and Treasurer. (Effective Spring 2010)
Article VI:
PARLIAMENTARY AUTHORITY
Section I: This organization shall be governed by Robert’s Rules of Order, except where these rules are inconsistent with the Constitution or Bylaws of this organization.
Article VII:
CADET ADVISORY BOARD
Section I: Starting Fall 2010, Kadettes will have a Cadet Advisory Board comprised of 2 cadets per class, one male and one female unless otherwise specified. These Cadets will be a part of advising the Kadettes on planning events and other such things for the Cadets. They will also be responsible for attending at least one of the Kadette meetings per month and also to help with connecting Cadets and Kadettes through various ways. The CAB members will be selected upon a first-come, first serve basis. An email will be sent out to all cadets at the beginning to each semester with an application for the Board. The Executive Committee shall be responsible for reviewing the applications and shall retain the right to deny a cadet a CAB seat should he or she seem to be dismissive about the position they receive.
Article VIII:
PHILANTHROPY
Section I:
The Kadettes shall have a Philanthropy focus each year. The specifications of what charity organization they shall choose to support shall be left to the discretion of the Executive Committee and Advisor but preferably something that benefits those who serve or have served in the Army will be highly considered. The Philanthropic contributions of the Kadettes can be either monetary or the volunteering time. This is also at the discretion of the leadership at the time. The Philanthropy Committee shall be created once they Philanthropy focus is known.
Article VIII:
AMENDMENTS OF BYLAWS
Section I: Amendments to the Bylaws must be proposed in writing to the President prior to a general meeting of the members. The proposed changes will be read and voted upon with a 2/3 majority vote required for approval. A quorum must be present at the meeting for the approval to be valid.

By signing this, I am stating that I have read the Constitution and Bylaws of the Kadettes Organization. I fully understand my role and responsibilities as a member of Kadettes. I have read and understand the consequences if I do not fulfill these responsibilities.
