Graduation Procedures

 

Each semester, each academic unit submits information to the Registrar’s Office on behalf of their graduating seniors.   As such, graduating seniors are asked by the respective academic unit to complete the AU Undergraduate Diploma Application.  This form can be found on the Registrar’s forms page http://www.auburn.edu/administration/registrar/faculty-and-staff/forms.html.

The graduation section of the Registrar’s Office determines the university-wide deadline for submission of the diploma applications each semester (generally mid-semester), each academic unit should determine their timeline in which to perform credit checks and have students complete the application.  Each academic unit deadline should accommodate the university-wide deadline.  Some colleges elect to perform these credit checks as early as course registration month for upcoming graduating seniors.  

At the beginning of each semester, the graduation section of the Registrar’s Office will send a preliminary listing of potential graduators to all applicable academic units.  Each academic unit will review the preliminary listing to determine if any changes need to be made.  Each academic unit will report any needed changes back to the graduation section of the Registrar’s Office.

In addition to reporting any needed changes, each academic unit should report a listing of students who are eligible to graduate with honors that semester.  (See the criteria for graduating with honors in the ‘GPA Designations’ section of this manual.)  Academic units should also provide a listing of all graduating seniors who are pursuing a double major or dual degree. 

The deadline for reporting all of this information (preliminary changes, honors eligibility listing, and double major listing) will be on the same date, and will generally be 2 weeks after the beginning of the semester.
At any point during the semester AFTER preliminary changes have been reported, all additions, deletions, and/or changes to the graduation listing should be reported immediately to the graduation section of the Registrar’s Office. 

A mid-semester (class schedule) report will be run by the Registrar’s Office shortly after mid-semester.  Each academic unit should check this report to ensure all previously noted graduating seniors have not dropped a course requirement from the current schedule.  Advisors should report any deletions to the graduation listing to the graduation section of the Registrar’s Office. 

Within the last 2-4 weeks of each semester, each academic unit will receive the preliminary commencement program.  Each unit should check the spelling of the student’s name, major, hometown, and Honors notation, to ensure that all information has been reported correctly to the graduation section of the Registrar’s Office.  All needed changes should be reported by the stated deadline each semester.
