AU INTERNATIONAL AGREEMENT FORMATS and FORMS

There are many types of relationships that may be established with foreign institutions in support of the academic mission of Auburn University.  The following are sample model documents and procedures that have been approved for use by Auburn University faculty and staff for formalizing such relationships.  OIE will be glad to assist all faculty and staff in reviewing and developing such relationships however please be aware that this process requires legal and risk management review as well as final authorization by the Office of the President and Provost

 ESTABLISHING A GENERAL RELATIONSHIP WITH AN INTERNATIONAL INSTITUTION, NO STUDY ABROAD PROGRAM PLANNED IMMEDIATELY
AU  Master Agreement This general agreement indicates an interest on the part of both parties to engage in a broad range of future activities such as research and faculty exchanges and study abroad programs.  This agreement does not bind AU to any specific program.  This agreement is active for five (5) years and may be renewed at the end of five (5) by mutual agreement of the parties.  Download:  MS Word Document

 AUBURN ABROAD PROGRAM DEVELOPMENT FORMS AND AGREEMENTS

Program Referral Form (for a specific Auburn Abroad program)  

This form is used by faculty to obtain approval from the Dean of their college, for their proposed program.  Once the Office of International Education (OIE) receives this completed, signed form, they start to work to develop an Auburn Abroad program with the faculty.  This form is good for the life of the program or until the program changes materially (i.e. the program changes departments or colleges).  Download: MS Word Document

Study Abroad Service Provider Agreement This is a sample format agreement to be used with a study abroad service providers.  Content should also follow the ADDENDUM format listed below. Download: MS Word Document
ADDENDUM to the Five (5) year Auburn Abroad Agreement:

 

This agreement includes the detailed duties of each party in the areas of: logistics, cost, payment issues such as payment due date, refund and cancellation policy, student and faculty housing, meals, transportation, academic credit to be awarded, and any other duties agreed to by both parties.  This agreement must be revised (i.e. new cost, logistic data, etc.) each year and signed by both parties. Group Financial Aid contractual agreement: This agreement is needed by the AU Office of Financial Services, to allow students to obtain Financial Aid for the specific Auburn Abroad program.  This agreement must be signed by both parties.  It is good for the life of the program or until the program materially changes (i.e. the program changes departments or colleges).   Download: MS Word Document
Program Budget This sample format allows the program director to list all Group and Individual student costs.  Group costs are incurred by the program as a whole, such as faculty salary, meals, housing, travel, which must be allocated to the students.  The final cost of the program for each student is the total of allocated Group costs and individual costs.  Download: MS Excel Document

Setting Up the Program, Income and Expense Accounts, etc. The following link provides faculty with an outline of the steps to take in setting up an AA program along with sample form required by the AU Business office to set up the required income and expense accounts for every AU Faculty-Led, AU sponsored program.  Attachments to this form include: Program Approval Form, Program Budget (estimated), Program Syllabus (Draft), Copy of Agreements and contracts with partner (even if these items are still in process). Auburn Abroad Package for Students

 

The faculty running an AU Study Abroad program is responsible for obtaining complete Auburn Abroad packages from each student.  The student package includes application form for your program, Course Approval Form to obtain AU credit, medical form, Vital information form, student responsibility forms, etc. needed to insure that the student complies with AU policies regarding program admission, payment, cancellation of program, etc.   Once the completed package is received by the Office of International Education, the student is enrolled in Auburn Abroad and MEDEX/Global and they are sent an electronic version of their MEDEX/Global card to take overseas with them. Emergency Contact form This form is required by the AU Risk Management Department and gives the Office of International Education and other units in AU the contact information to reach the program director and on-site coordinator in the case of an international or a state-side emergency. ESTABLISHING AN EXCHANGE PROGRAM AGREEMENTS

Student Exchange Agreement This agreement binds both parties to an academic, tuition, and  logistics plan involving the exchange of students between two institutions.  A Student Exchange Agreement must be housed in a particular college and department because of the duties involved in implementing this plan.    This agreement must be revised (i.e. new cost, logistic data, etc.) whenever costs are updated and signed by both parties.  Download: MS Word Document
